About The Role

We are seeking a highly organized and proactive Administrative Assistant to support our growing Houston office. This individual will play a key role in ensuring smooth day-to-day operations, supporting leadership with administrative tasks, and helping set up and scale our new Houston location.

Key Responsibilities

Office & Facilities Support


  • Restock and manage kitchen, office, and general supplies.
  • Keep office space clean, organized, and well-maintained, ensuring it is always presentable.
  • Assist with the setup and coordination of the new Houston office (furniture, vendors, supplies, logistics).
  • Act as point of contact for building management, vendors, and service providers.

Administrative & Operational Support


  • Manage leadership team calendars, including scheduling meetings and resolving conflicts.
  • Greet and manage guests and visitors, ensuring a professional and welcoming environment.
  • Assist with travel arrangements (flights, hotels, transportation).
  • Support hiring and recruiting efforts for the Houston office (scheduling interviews, coordinating candidate visits, liaising with recruiters).
  • Maintain internal documentation, filing systems, and office records.
  • Coordinate team meetings, events, and offsites, including logistics and catering.

General Support


  • Help onboard new employees and ensure they are set up with necessary equipment and resources.
  • Prepare and edit documents, reports, and presentations as needed.
  • Assist leadership with special projects and ad hoc administrative tasks.
  • Anticipate team needs and proactively suggest improvements for efficiency and organization.

Basic Qualifications


  • 1-2 years of experience as an administrative assistant, office coordinator, or similar role.
  • Strong organizational skills with attention to detail and a passion for keeping spaces tidy and presentable.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite
  • Ability to multitask, prioritize, and work independently.
  • Professional, positive, and proactive attitude.

Preferred Qualifications


  • Experience supporting office setup or expansion.
  • Familiarity with travel booking platforms and recruiting coordination.
  • Experience with Greenhouse (ATS) and DocuSign (e-signature workflows).

Location: Houston, TX (Onsite)

Salary Range

$45,000 - $50,000 USD + Benefits
